Set up a DocsBot public-documentation pilot

Quick answerStart with one permitted, current source collection. Verify what was imported, test held-out questions, and only then consider a limited public embed. This is a proposed workflow, not a report of our hands-on product test.

Define the source before opening the importer

Choose a reader task such as finding a current configuration setting. List the public articles that support it, their version and the owner responsible for corrections. Exclude private tickets, customer records and documents you are not entitled to share. A public URL is not, by itself, permission to republish everything on the page. Keep the original documentation accessible throughout the pilot.

Select a narrow import and check the allowance

DocsBot’s sitemap guide describes selecting Sitemap under New Source and supplying a public site or XML sitemap URL. Only accessible listed pages within the remaining source allowance are imported. The guide still mentions a Hobby plan while the pricing page uses other names; confirm source eligibility in the current plan rather than assuming the free tier includes this route.

Treat Ready as the start of review

The guide says to wait for Ready and inspect warnings, indexed counts and representative pages. That is import status, not answer acceptance. Our additional check is to compare several expected passages against the imported material, including an excluded or obsolete version. If a required page is absent, investigate the source warning or access boundary instead of broadening the corpus indiscriminately.

Keep a held-out question sheet

Write each question beside its expected passage before tuning the bot. Include an ambiguous question, a version-specific answer and a question whose answer is absent. Separate tuning cases from the final review. Record the response, material claims, citation and your reason for passing or holding it. A confident sentence is not evidence. Do not silently discard failed cases from the release decision.

Diagnose sources before chasing prompts

DocsBot’s response-quality guide describes inspecting retrieved source content in chat logs and searching training data. Use those features, where available, to distinguish missing text from an unsupported answer. The guide contains older parsing language; do not infer that all current image or media sources are unsupported. Our recommendation is to resolve the specific missing passage and rerun the affected cases, retaining the original failure.

Embed only after the bounded job works

Use the merchant’s current embedding instructions for your platform, then check keyboard access, mobile overlap and an easy path back to the source article. Keep the assistant read-only for this pilot. Publish a visible route to human help for questions outside its boundary. Name an owner and removal procedure before widening access; a successful test is not a reason to abandon source maintenance.
