Name the responsibilities separately
The person who edits documentation may not be the person who configures the assistant or approves its public use. List each responsibility and the current owner. Include source review, failed-answer triage, subscription administration and the ability to remove the embed. Do not assume a new dashboard user understands the boundaries that were agreed during the pilot. A short explicit handoff prevents those limits from depending on one person’s memory.
Show the last accepted state
Provide the source inventory, version boundary, configuration notes, evaluation set and the most recent accepted result. Keep the unresolved cases visible beside the successes. Explain which product features were deliberately excluded, especially account actions and private sources. The incoming owner needs to know not only how the system works, but which apparently convenient additions would create a new review obligation or invalidate the earlier acceptance.
Run one harmless handoff exercise
Ask the new owner to locate the source supporting a sample answer, identify an intentionally unsupported fictional claim and find the documented removal route. Do not change a live setting or generate customer actions simply to demonstrate familiarity. This exercise checks whether the record is understandable and the necessary responsibilities are assigned. It is not a new accuracy benchmark or proof that the incoming owner has reviewed every topic.
Keep transition gaps explicit
If no one can own a critical source or inspect a failed answer, narrow or pause that part of the assistant until responsibility is clear. Retain ordinary documentation access. Record the handoff date and the next review trigger without overwriting the original launch evidence. A complete transition preserves the reasoning behind the setup, not just the ability to log in and make changes.
